The purpose of this Privacy Notice is to explain how and why we process your personal data, to ensure you are informed and able to control your information.

PVI processes your personal data in accordance with current legal requirements, and in particular, with the General Data Protection Regulation (EU Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016).

This Privacy Notice applies to all services provided by PVI. By using our services, you acknowledge your awareness that PVI collects, uses, and discloses your personal data as described in this Notice.

About Us

PVI is a leading company in the field of information services and employment support. Our core business focuses on relocation legalization to European countries, migration assistance, and employment services.

Your personal data (i.e., any information that can directly or indirectly identify you) is collected for the purpose of providing visa and/or migration services, as well as administrative processing unrelated to evaluation, related to the aforementioned services (see Section 1 of this Privacy Notice).


1. Handling of personal data submitted in relation to employment/visa/relocation requests and related services (PVI acts as a data processor)


1.1. How do we collect your personal data?

We receive your personal data when you use our services to submit an application for a job vacancy.Representatives may submit your personal data on your behalf. Before accepting any information about you from your representatives, we will always verify and confirm their identity.


1.2. What data do we collect?

We only collect the personal data necessary for processing your visa or employment application. The type and categories of personal data we collect depend on the type of visa/service you are applying for.

In particular, we may collect the following categories of personal data:

  • Personal information: name, nationality, gender, travel document details (e.g., passport or ID card), email address, phone number, marital status, postal address, place and date of birth, photographs, etc.

  • Sensitive personal data: health information, biometric data (fingerprints, facial images, DNA samples), criminal records, court proceedings, etc.

  • Personal data of related individuals: personal information of children, parents, spouse, or inviter.

  • Business and education data: entrepreneurial and/or employment activities, education background, employer/school address and contact details.

  • Financial data: payment card details, bank account information, national insurance number, salary statements, tax documents, etc.

  • Electronic media data: video and audio recordings.

The list may vary depending on the services you request from us.


1.3. How do we use your personal data?

We will never sell your personal data or use it in any way without informing you in advance. We use your data solely to provide the specific service related to your visa or employment application.

Specifically, we may use your data to:

  • Confirm your identity;

  • Facilitate the processing of your visa or other application;

  • Conduct further verification procedures in relation to your application;

  • Provide you with additional ordered services, such as courier delivery of your documents to a chosen address;

  • Allow you to track the progress of your application;

  • Fulfill our obligations under the authority granted to us by our Clients;

  • Send you notifications and updates regarding the status of your selected service.

Such data processing is based on the agreement between PVI and the Client and includes compliance with legal obligations.

Statistical data may be used in aggregated, anonymized form, such as:

  • Information identifying the device used to access the site, such as browser version, IP address, device location, visit duration, pages visited, requests and employer responses.

  • Interaction data between pages and phone numbers used to contact support. This analysis may be performed using various tools, including cookies.


1.4. How long do we retain personal data?

We retain your personal data for the period required by our legal obligations. Typically, we do not retain personal data after the visa or employment application process is completed. Your personal data is stored in our systems only for the duration necessary to provide the requested service.


1.5. Who has access to your personal data?

Partial access to your personal data may be granted to third parties, namely:

  • Registered employers interested in hiring candidates whose profiles are published on the platform (Category I entities);

  • Website partners who may publish information about the PVI platform and its services.

Third parties access data under the terms specified in mutual agreements. The level of access is controlled by the administrator and complies with the platform's usage policies.

The website is not responsible for the safekeeping of personal data disclosed by Category I entities, nor for the protection of information voluntarily disclosed by the user. Data collected and processed by these entities outside of the platform is subject to their own privacy policies.

According to legislation, certain data obtained by services is not considered personal. If the user wishes to learn about the purpose of using such data, they should consult the privacy policies of the respective third parties.

Government authorities and diplomatic missions:When you submit a visa or related service application, your personal data will be transferred to the relevant foreign diplomatic mission acting as a data controller. These missions may further share your data with governmental, regulatory, or law enforcement agencies to prevent crime or terrorism.

PVI cannot control or manage how your personal data is used once it is transferred to such diplomatic missions. We strongly encourage you to review the privacy notices of the relevant diplomatic missions, including the information provided in visa application forms.

Third parties for legal reasons:We may disclose your personal data to third parties in order to comply with legal obligations or respond to inquiries from government agencies, including law enforcement or other public authorities, which may be located outside your country of residence.

Third-party service providers acting on our behalf:We may share your personal data with our third-party service providers, subcontractors, and affiliated organizations to perform tasks or deliver services on our behalf. Only data necessary for the provision of such services will be disclosed.

Examples of third-party partners include:

  • Technology service providers assisting with application processing;

  • Logistics, transportation, and courier service providers and their partners.

Before disclosing any personal data, we ensure all service providers have committed to the following contractual obligations:

  • To keep your data secure and confidential;

  • To retain your data only for the period necessary to deliver the service;

When you apply for a visa or request a related service, your data will be sent to the respective country or governmental authority receiving the request. We will never transfer your personal data using insecure or unreliable methods.

If we transfer your personal data to countries whose laws do not provide the same level of data privacy and protection, we take steps to ensure appropriate safeguards are in place. These include requiring data importers to adhere to our Binding Corporate Rules or signing Standard Contractual Clauses approved by the European Commission.

2. Handling of personal data related to specific PVI services or processing activities (PVI acts as a data controller)


2.1. How do we collect your personal data?

We collect your personal data when you use our services to submit a visa/employment application and/or when you use certain additional services provided by us.


2.2. What data do we collect?

We use, store, and otherwise process any of your personal data in accordance with this Privacy Policy, including but not limited to:

  • Personal information: name, email address, phone number, postal address, etc.

  • Financial data: payment information.

When we collect personal data through forms, including electronic forms, mandatory fields will be marked with an asterisk (*). If you do not fill in the required fields, access to our services may be denied.


2.3. How is your personal data used?

We will never sell your personal data or use it in any other way without informing you. Specifically, we may use your personal data for the following purposes:

  • To provide additional services ordered by you, either by PVI or its trusted partners (these services may or may not be directly linked to your visa application), and to process your payments.

  • To ensure the safety and security of PVI employees and clients.

  • To respond to your requests and/or resolve disputes related to PVI services.

  • To request your feedback regarding our services to improve service quality. You may withdraw your consent to receive service feedback requests at any time by contacting us via the “Feedback and Complaints” page or by emailing our data privacy officer.

  • To send you marketing communications (with your consent) — we will not share your data for marketing purposes with third parties unless you explicitly agree. You can withdraw your consent at any time via the provided communication channels.

To lawfully process your personal data, we rely on one or more legal bases:

  • When processing is necessary for the performance of a contract between us and you (e.g., delivering requested services, responding to inquiries, handling claims, or processing payments).

  • When processing is based on our legitimate interests (unless your interests or fundamental rights override them), such as offering personalized services, meeting your needs, or ensuring workplace safety.

  • When processing is required to comply with a legal obligation.


2.4. How long do we retain personal data?

The processing, storage, and use of personal data are carried out in accordance with the Law of Ukraine "On Personal Data Protection."The duration of personal data retention is determined by the requirements outlined in Clause 3.1 of this Privacy Policy and must be no less than 10 years.The "PVI" website makes every effort to securely retain data and ensure it is used in compliance with legal regulations.


2.5. Who has access to your personal data?

Third parties for legal reasonsWe may disclose your personal data to third parties in the following circumstances:

  • To fulfill legal obligations and respond to inquiries from government agencies, including law enforcement and other public authorities, which may be located outside your country of residence.

When you submit a visa/employment application or request any related service, your personal data will be transferred to the country or governmental authority receiving the request. If we transfer your personal data to countries whose applicable laws do not provide the same level of data privacy and protection, we take appropriate measures to ensure a sufficient level of confidentiality and data protection. This includes requiring data importers to comply with our Binding Corporate Rules or entering into Standard Contractual Clauses approved by the European Commission.

  • Correction – the right to correct your personal data.

  • Objection to processing – the right to object to the processing of your personal data for direct marketing or in any other situation, depending on local legislation.

  • Data portability – the right to receive your personal data in a structured, commonly used, and machine-readable format and to transmit that data to another controller. This right applies only when the processing is based on your consent or contract and is carried out by automated means.

  • Withdrawal of consent – you may withdraw your consent to data processing at any time by submitting a data subject request as described in this notice. Please note that withdrawing your consent or failing to provide the personal data described in this Privacy Notice may affect our ability to provide you with any services and may result in the discontinuation of previously ordered services.


How to Exercise Your Data Rights

To exercise your personal data rights, simply contact us directly or through the “Feedback and Complaints” page, fill out a brief request form, and select the “Personal Data Request” category in the “Reason for Contact” field.All requests are free of charge.Once your request is received by PVI, we will confirm its receipt and process it without undue delay.Before processing the request, we may contact you to clarify it, request additional information, or verify your identity.If you believe your rights have been violated, please contact our Data Protection Officer.You also have the right to lodge a complaint with the supervisory authority in your country of residence.


4. Profiling

“Profiling” refers to any form of automated processing of personal data consisting of the use of personal data to evaluate certain personal aspects relating to a natural person, in particular to analyze or predict aspects concerning work performance, economic situation, health, personal preferences, interests, reliability, behavior, location, or movements.

To offer you personalized services, we analyze the information you provide, such as age or location, through profiling.We believe profiling is in our legitimate interests as it enhances your service experience and enables access to additional services tailored to your profile.

Our website may contain links to other websites. We are not responsible for the content or functionality of those external websites.

If a third-party website requests personal data (e.g., for ordering goods or services), such data will not be subject to this Privacy Notice.We recommend reviewing the privacy policy of any external website before submitting any personal data.

When you purchase goods or services from companies whose sites are linked from ours, you enter into a contract with that company (agreeing to its terms and conditions), not with PVI.
